Terms and Conditions

These Terms and Conditions govern the use of the InstructorOS platform. By creating an account and accepting these Terms during registration, you agree to be legally bound by them. If you do not agree to these Terms, you must not use the service.
1. Definitions
InstructorOS
InstructorOS is an online software platform that allows users to record and manage lesson information, income, expenses and related records.

User
Any individual or business that creates an account and uses the InstructorOS service.
Service
The InstructorOS web application and associated systems.
Account
A registered user profile used to access the service.
Subscription
The monthly paid access to the InstructorOS platform following the free trial period.
Learner Data
Any information entered by the user relating to driving students or learners, including names, contact details, addresses, PRN numbers, lesson notes, progress records or other information.
2. Acceptance of Terms
By creating an account and selecting the acceptance checkbox during registration, the user confirms that they have read, understood and agree to be bound by these Terms and Conditions. These Terms form a legally binding agreement between the user and InstructorOS. Users must be at least 18 years of age to create an account.
3. Description of the Service
InstructorOS provides a digital platform that allows users to:
- record driving lessons
- track income and expenses
- monitor financial performance
- view estimated tax calculations
- store learner information
- export reports for accounting purposes
InstructorOS may modify, update or improve the service at any time.
4. Accounts
- Users must create an account to access the service.
- Each account is intended for use by a single user.
- The account holder is responsible for all activity conducted through their account.
- Users must ensure that login credentials are kept secure.
- InstructorOS may introduce organisational or multi-user account structures in the future, including accounts for driving schools.
5. Free Trial
- InstructorOS provides a 7 day free trial period.
- A valid payment method is required to start the trial.
- If the user cancels before the trial period ends, no payment will be taken.
- If the user does not cancel before the trial expires, the account will automatically convert to a paid subscription.
6. Subscription and Billing
Following the trial period, the service is billed at:
£15 per month
- Payments are processed by Stripe.
- InstructorOS does not store payment card information.
- Stripe processes payment details in accordance with its own privacy and security policies.
- Subscriptions renew automatically each month unless cancelled.
7. Cancellation and Refunds
- Users may cancel their subscription at any time.
- Cancellation will stop future billing.
- If cancellation occurs during an active billing period, a pro rata refund will be issued for the unused portion of that billing period.
- Refunds are processed to the original payment method.
8. User Responsibilities
Users agree that they will:
- use the service lawfully
- not misuse or interfere with the platform
- not attempt to gain unauthorised access to the system
- not upload harmful or malicious content
Users are responsible for the accuracy of any data entered into the system.
9. Learner Data and Personal Information
Users may store learner data within the platform including:
- names
- contact numbers
- addresses
- email addresses
- PRN numbers
- lesson notes
- progress records
- The user is responsible for ensuring that they have the lawful right to store and process this information.
- InstructorOS acts as a data processor for learner data.
- The user acts as the data controller for learner information entered into the platform.
- Users must comply with applicable data protection laws including UK GDPR.
10. Data Export and Deletion
- Users may export their data from the platform.
- Users may request deletion of their account at any time.
- Users may request full erasure of their data.
- InstructorOS will delete personal data within a reasonable timeframe except where retention is required for legal or security purposes.
- Backups may temporarily retain data for system integrity and disaster recovery.
11. Financial Calculations and Tax Estimates
- InstructorOS may provide financial calculations including estimated tax figures, profit margins or financial summaries.
- These figures are estimates only.
- InstructorOS does not provide financial advice, accounting advice or tax advice.
- Users remain responsible for verifying financial information and should consult a qualified accountant or advisor where necessary.
- InstructorOS accepts no liability for financial decisions made based on estimates generated by the platform.
12. Service Availability
InstructorOS aims to maintain continuous service availability.
However, the service may occasionally be unavailable due to:
- maintenance
- updates
- technical issues
- third party infrastructure failures
InstructorOS does not guarantee uninterrupted access to the platform.
13. Suspension and Termination
InstructorOS may suspend or terminate user accounts at its reasonable discretion.
This may occur in situations including but not limited to:
- non payment
- misuse of the service
- illegal activity
- breach of these Terms
- activity that may harm the platform or other users
Where reasonably possible, users will be notified before suspension or termination.
14. Intellectual Property
- All intellectual property rights relating to the InstructorOS platform remain the property of Willow & Bean Co. Ltd.
- Users are granted a limited, non transferable licence to access and use the platform for its intended purpose.
- Users may not copy, distribute, reverse engineer or exploit any part of the software without permission.
15. Limitation of Liability
- InstructorOS will not be liable for indirect, consequential or incidental losses.
- The total liability of InstructorOS arising from the use of the service will not exceed the total amount paid by the user in the preceding 12 months.
- Nothing in these Terms excludes liability for:
- death or personal injury caused by negligence
- fraud or fraudulent misrepresentation
- any liability that cannot be excluded under applicable law
16. Changes to the Terms
- InstructorOS may update these Terms from time to time.
- Where changes are made, users will be notified through the platform or by email.
- Continued use of the service after changes take effect constitutes acceptance of the updated Terms.
17. Governing Law
- These Terms are governed by the laws of England and Wales.
- Any disputes arising from these Terms or the use of the service will be subject to the exclusive jurisdiction of the courts of England and Wales.
